The Hayner Hoyt Corporation is seeking an experienced commercial construction billing clerk to join our team. The billing clerk will work closely with the accounting and project management staff to generate monthly client bills with all client-required documentation of project expenses. This position requires strong attention to detail, the ability to work on multiple projects and a high degree of discretion when working with confidential information.


  • Input the initial schedule of values for AIA billing on excel spreadsheet. Update schedule of values on a monthly basis to accurately reflect completed work to date.
  • Generate and update project bills for assigned clients on a monthly basis.
  • Create and maintain labor, material, and subcontractor reports.
  • Collect backup documentation for actual job costs and match all vendor/subcontractor payment requests to work performed. Identify and follow up on any variances between subcontractor payment requests, cost documentation and job cost reports.
  • Follow up with subcontractors on outstanding invoices or missing documentation for billing.
  • Assist project manager with reviewing job cost codes for correct code application for labor and/or materials.
  • Perform related duties as assigned to meet business and department requirements.


  • HS diploma or equivalent required with a minimum of 5 years cost accounting or bookkeeping experience or 2-year college degree with minimum of 3 years directly related experience.
  • Experience in AIA billing and or commercial construction accounting desired.
  • Strong organizational skills with the ability to establish priorities, manage multiple projects and complete assignments with tight deadlines.
  • Excellent computer skills with the ability to send/receive email messages, post information to a database or excel spreadsheet, and perform basic word processing and/or data entry.
  • Very detail oriented with a high degree of accuracy in dealing with multiple cost and project codes.
